This Excel file provides a structured, realistic dataset for resource capacity and demand modelling. While AI tools can generate random names or numbers, they cannot create a proper capacity model with aligned calendars, utilisation patterns, demand logic and role‑based allocations. That takes real domain knowledge and careful manual work.

This dataset has been built and checked by hand, and every few months the dates and allocations are refreshed because capacity and demand data is time‑dependent. It gives you a reliable foundation for testing PBIX reports, practising resource modelling or understanding how capacity data should be structured in a reporting environment.

Overview

This Excel file contains realistic resource capacity and demand information arranged in a clear, modelling‑friendly structure. It has various information such as roles, capacity, department, project demand and utilisation that reflect how resource data is typically organised in PMO and delivery environments.

What's included

  • You'll receive a single Excel file containing multiple tables covering resources, departments, demand, and capacity. Project entries use familiar, real‑world style names to provide context, while resource names are presented as placeholders such as Resource A, Resource B, and Resource C.
  • All data is fictional and created purely for demonstration.
  • Free lifetime updates - if the file is improved or updated in the future, you’ll receive the new version at no extra cost.

How to use it

Open the Excel file and use it as a data source for Power BI Desktop, Excel analysis or resource modelling exercises. You can rename columns, add fields or replace the sample values with your own resource information. It’s ideal for testing PBIX reports before connecting to live organisational data.

The sample data is structured to help you understand the resource demand and capacity data requirements before connecting your own portfolio resource information.

Benefits

This dataset saves you the time and effort of creating realistic resource capacity and demand information from scratch. AI can generate random numbers, but it cannot produce a complete capacity model with aligned calendars, sensible utilisation patterns and meaningful demand logic. This file has been manually curated and is updated regularly so the timelines and allocations stay realistic. It’s a practical way to test PBIX reports, train new analysts or validate resource modelling structures without needing access to confidential organisational data.

Important notes

This sample data has been created by Freedom Solutions and is not affiliated with or endorsed by Microsoft. Microsoft and all Microsoft product names including Power BI, Excel, Power Apps, Power Automate, SharePoint, Teams and Office are trademarks of Microsoft Corporation.

Enterprise vendors rarely give their sample data away for free. They usually hide it behind sales forms, demo calls or gated downloads because sample data reveals how their reporting model works. This dataset does the same — it shows the structure, logic and layout behind resource capacity and demand reporting — which is why it is offered as a paid asset.

The data in this file is fictional and should not be used for real resource decisions. You may modify the file for personal use, but redistribution or resale is not permitted without written permission.
